Privacy Policy

Your privacy is important to us. We respect you and your data, so we want to inform you clearly and give you control over what happens with your personal data. Below you will find information about which data we collect, why we collect it, how long we keep it, what your privacy rights are and how you can exercise them.

01. Who are we?

STEVE SKILLS (UU BV) is a multi-specialist in permanent recruitment, interim management and project consulting. We are based in Belgium and are represented by Bernard Van Steenberge.

02. Why do we have a privacy policy?

Because of the nature of our business, we process personal data. To make sure your data is protected and only used where necessary, we commit to maintaining high privacy standards.

Under the GDPR, we are required to inform you about what we do with data collected electronically. This privacy policy applies to all information transferred to us electronically, such as through our website or by e-mail.

When you contact us through another electronic platform, such as LinkedIn, Instagram, Facebook or X, that platform's privacy policy prevails in case of conflict with this privacy policy.

04. Which data do we collect and what do we use it for?

For the processing of the following data as a future or current customer or candidate of STEVE SKILLS, we ask for your consent, or we process the data when it is necessary for the performance of an agreement between you and STEVE SKILLS.

Identification data

Name, title, address, previous addresses, telephone number and identification data assigned by the responsible party. We process this data to identify you within Steve Skills and, with your consent, to share your name with a client.

Financial details

Financial identification data, such as identification and bank account numbers, and data about professional activities, agreements and arrangements for freelancers. When a freelance contract runs through us, we need this data to make payments correctly.

Personal characteristics

Age, gender, date of birth, place of birth, marital status and nationality. We need your nationality to assess whether you qualify for roles with a Belgian or EU/EEA nationality requirement and to verify whether you need certain documents to work.

We do not expect candidates to provide other personal characteristics. If you choose to share them, you agree that we may process them to complete your profile.

Training and education

Academic curriculum, professional competence and professional experience. To offer you the best possible vacancies, we need information about your academic background.

Profession and employment

Current position, recruitment, termination of employment, career, wages, work organisation, evaluation, job-related training and use of IT resources. We use this information to build a detailed profile of your work experience and find roles that match your experience and competencies.

Leisure activities and interests

We do not expect information about hobbies or interests from candidates. If you choose to share it, you agree that we may process it to complete your profile.

Competitions

When participating in a competition, you share your name, first name and mobile phone number. This data is kept for a maximum of three months after the competition.

OUTLAW event

When registering for the OUTLAW event, you share your name, first name and mobile phone number. This data is kept for a maximum of three months after the event and is used to verify your unique access to the event and keep you informed about OUTLAW events.

Website forms and newsletter

When you submit a form through our website, send a request, upload a document or subscribe to our newsletter, we process the data you provide to handle your request, process your subscription, contact you or send you the requested communication.

If a technical delivery temporarily fails, we may temporarily store the necessary data in private infrastructure so that we can retry delivery. This may include form data, uploaded documents, newsletter data or welcome-email data. These temporary queued data are stored encrypted and are deleted once delivery has been successfully processed.

You can choose to have your data kept for a longer period. You can also ask us at privacy@steveskills.be to delete, correct or show you your data.

05. Who has access to your data?

The recruitment consultants of STEVE SKILLS have access to your data strictly when necessary to perform a processing activity described above.

Your data may also be transferred to clients who are looking for talented employees. We always ask your consent before transferring personal data. The categories of data sent to a client depend on the specific circumstances and on what you have provided to us in your CV.

That is why we kindly ask you not to provide information at this stage that you do not yet want to disclose. This may have an impact on the effectiveness of our matching. We will not transfer your data to clients outside the EEA without your explicit consent.

06. How long is my data kept?

To keep our database as up to date as possible, we initially keep your data for two years. After that, if you have not updated your profile, we will contact you once per year to ask whether you still want to remain a client or candidate. If so, the retention period is extended by one year. Otherwise, we will no longer process your data.

Temporary encrypted delivery-retry data are kept only as long as necessary to complete the failed delivery, unless a legal obligation or a valid privacy request requires a different handling.

07. What are my rights?

Right of access

Everyone has the right to access their data. This means that we must inform you about what happens with your data and explain your rights in more detail. You can receive a copy of your personal data on simple request through one of the channels mentioned above.

Only the first copy is free of charge. We will send you the information by e-mail unless you specifically ask to receive it by post or e-mail is not technically possible. If documents contain personal data of other people, we may need to anonymise them. We will always inform you if we cannot fulfil the request within one month.

Right to rectification

If we hold incorrect or outdated data, we will correct it on simple request through one of the channels mentioned above. If we suspect that the data we have about you is no longer up to date, we may contact you to verify this.

Right to erasure

Under certain circumstances, you can ask us to delete your data. When one of the criteria below applies, we will delete your data without undue delay. We may keep your e-mail address, telephone number, address or name on a blacklist so our system knows that you no longer wish to be contacted.

  • We no longer process or need your data.
  • You withdraw your consent for processing that was based solely on consent.
  • You exercise your right to object.
  • Your data was unlawfully processed.
  • There is a legal obligation to delete the data.
  • Your data was collected in relation to the offer of information society services.

There are also exceptions to the right to be forgotten. If an exception applies, we will inform you.

  • The right to freedom of expression and information prevails.
  • Processing is necessary to comply with a legal obligation.
  • Processing is necessary for reasons of public health.
  • Processing is necessary for archiving, research or statistical purposes in accordance with article 89 GDPR.
  • Processing is necessary for the establishment, exercise or defence of legal claims.

Right to restriction of processing

If we hold inaccurate data, if our processing is considered unlawful, if legal claims are involved or if you object under article 21 GDPR, we will stop processing, except for storage, until the matter has been clarified.

When an agreement is reached, the claim is considered unfounded by us or another circumstance means that the restriction is no longer justified, we will inform you of the reasons for lifting the restriction.

Right to notification

When you exercise one of the rights mentioned above, except the right of access, we will communicate this to each recipient to whom the personal data has been disclosed, unless this proves impossible or involves disproportionate effort. At your request, we will inform you about those recipients.

Right to data portability

Any data you provided to us, which we process based on consent and by automated means, will be transferred to you or, if technically feasible, to another controller upon request in a machine-readable format.

Right to object

When we process data based on legitimate interest or on article 6.1.e GDPR, you have the right to object. We will investigate your objection and will only continue processing if we can prove that we have a legal reason to do so. The conclusion of the investigation will be communicated to you.

When you object to direct marketing, we will no longer send you direct marketing from the moment we receive your request.

08. Can I withdraw consent?

Yes. You can withdraw your consent to the processing of data at any time. There are two exceptions: if there is another legal ground for processing, we may continue processing your data on that legal ground; and withdrawal of consent cannot be used to circumvent contractual obligations.

In short, withdrawing consent only works for the future. Previous processing remains lawful and, if processing is necessary to perform a contract, the data may continue to be processed on that basis.

09. I want to file an official complaint. Where can I go?

If we were not able to handle your request properly, you always have the right to lodge a complaint with the Belgian Data Protection Authority: https://www.dataprotectionauthority.be/citizen/actions/contact.

10. Why are some fields mandatory?

To comply with legal obligations or for contractual reasons, we sometimes need a minimum amount of information to function, process your data or fulfil a legal obligation. We only ask for a name and e-mail address to contact and identify you. Everything else you provide is voluntary.

11. Do you use profiling or automated decision-making?

Our recruitment consultants personally look for a job that suits you. You will not be subject to a decision based solely on automated processing.
